DocuFi Cloud Services 

Use every day emails and natural language instructions for cloud-based document processing. Users simply send an email with a referenced or attached document and instructions to convert it to PDF, mine for specific data, rename it using extracted content, and more. Based on our newly filed patent, DocuFiCloud Services is a unique document processing solution.

 The Process:

 Users apply simple instructions written in everyday language such as “OCR this document and search for barcodes. Split and rename the files with the first barcode. Save the file to PDF and secure it with the password 'secure'.”  

There’s no need for complex document processing software. Just email or reference the document on a repository service such as Google Docs™ and Dropbox™ with your instructions and the processing is started. DocuFi Services will return a confirmation email with the interpreted instructions and a status of your subscription. Subscriptions are based on page count or monthly fees. When the processing is completed, an email is returned with the documents attached or referenced in the appropriate cloud repository.  

And don’t worry if you have high security or privacy issues, your documents don’t have to leave your company’s control as DocuFiCloud Services can be implemented within a company’s intranet as well.  

Communication/Input

 Our platform is available 24/7 to any user with an email system that can attach or reference documents.   We support mobile, handheld, and desktop devices as well as email capable printers or MFP devices.

 Use any scanning device to capture documents for processing. Scan direct to email or to a file system from which you can create an email and attach the document using any device with email capability. We don’t care what email platform you use or how you create your email. Mobile users can even voice dictate email tasks using voice recognition tools including Siri™ and others. 

We can also work with PDF print streams, common with ERP systems where several unique documents such as daily invoice runs, delivery orders, or other forms are printed into a single output stream as a PDF text document. 

So What is Natural Language?

 Simply put, it's the ability to use common human language (speech/written word) to identify tasks and instructions to perform. For Example, 

“Save these files as PDF” 

“Save these documents as PDF files” 

“Save to pdf” 

“Save the files in .pdf format” 

These instructions will all be interpreted the same by DocuFiCloud Services. There are just a few rules to follow for DocuFi Services to correctly interpret the natural language.  

• Phrases are not case sensitive except for passwords.
• Multiple instructions should be separated by commas, semicolons, periods or entered on new lines.
• Passwords must be enclosed within single quotes, for example: 'xyz123ismypw' 

So What “Processing” Can be Done to the Documents?

The same common document processing tasks that are performed everywhere today are available with DocuFiCloud Services as well as advanced document processing. Easily convert files to different file formats and split, classify, and rename files. Also, OCR scanned data to make searchable PDF documents, clean images to improve OCR accuracy, mine text, extract indexi nformation and prepare for integration into a Content Management, EMR, EDR or search and retrieval system can be accomplished.  

Many of these functions are based on OCR and barcode technologies that are fundamental to document capture and processing. These functions are powerful, proven technologies used in file splitting, naming and many more capture functions. Splitting

 A large single file can be split and renamed with information from OCR-mined text or barcodes. Barcode separation sheets are a common way to indicate where files should be split. Users might choose to: 

• Split files at 1D or 2D barcodes
• Split every <n> pages
• Split on regular expression matches (OCR-mined text)
• Only split if separation pages contain specific strings  

Naming

 Easily instruct DocuFiCloud to name the processed files based on barcodes, OCR-mined text, or system data. 

For example:

 Use text extracted using regular expression text scripts for file names

• Use extracted barcode data as output file names
• Use system date or time stamps in output names
• Use page numbers in output file names
• Use your own text strings to name files

Add Security

 Create your own password based on 48-bit password protection (encryption) and apply digital rights such as restricting cut/copy/paste/printing and more with DocuFiCloud Services. 

Save to or Convert to PDF, TIFF, or JPG 

Choose your output based on prevalent and open document formats. This can include creating searchable PDF or TIFF documents via OCR which creates a text layer for searching. Extract Index Information

 Use barcode content, OCR-mined text, dates and more for indexing. Captured index data can be output as XML or CSV files for easy integration into content management, EMR, EDR or search and retrieval systems. For a tutorial on document indexing visit What is Document Indexing?   

Compare Documents

 Built on our Compara platform, DocuFiCloud Services compares multipage drawing sets, identifies or tags the differences, and publishes to a PDF file for easy communication with your teams and suppliers. For detailed information on comparing documents or drawings, visit ComPara.  

Clean and Enhance Documents

Bookmark and Stamp 

Create PDF bookmarks based on extracted information. Simply create a single file such as a complete patient record where the user can jump to bookmarks such as clinical notes, prescription orders, lab results, and more. Users can also create stamps on documents such as stamping each page with 'confidential' or any text string. For the legal and medical fields, Bates Stamping can place identifying page numbers and/or date and time-marks on PDF files.
